Renting Directly vs. Through an Agency: A Practical Comparison
When searching for an apartment in Warsaw — or any major European city — the default path leads through an estate agency. It is not the only path, and for long-term rentals in particular, it is often not the best one.
The cost of going through an agency
In Poland, agency fees are typically equivalent to one month's rent, sometimes more. On a 6,500 PLN apartment, that is an upfront cost of 6,500 PLN before you have paid your first month or deposit. Across a 12-month tenancy, that is 8.3% added to your effective annual housing cost.
Beyond the fee itself, agencies add a communication layer between tenant and owner. Every maintenance request, lease question, or schedule change goes through an intermediary — often adding days to what should be simple exchanges.
What direct-owner rental looks like
Renting directly from a private owner removes the agency fee entirely. It also means your questions are answered by the person who owns and cares about the property. In our experience, this changes the quality of the relationship significantly.
Lease terms can be discussed directly. Maintenance is handled without bureaucratic filtering. Move-in dates, pet policies, and small customisations are negotiated person to person.
The caveats
Not all private landlords operate professionally. With a small or family-operated portfolio, responsiveness and consistency matter enormously. Before signing, ask how maintenance requests are handled, who your single point of contact is, and what the process is for lease renewals.
A reputable direct-owner operation will have clear processes, a professional tenancy agreement, and be reachable during and after business hours.
What to look for
A clear, well-presented property listing with transparent pricing. A straightforward viewing process with no pressure. A written tenancy agreement that meets local legal requirements. And an owner or manager who communicates clearly and on time.
